Permission Definitions

Document Rights

Document Rights refer to a user's ability to access various records or points of data available in Supportable.

ViewThe right to see a document
Edit AllThe right to make changes to all documents, regardless of the author
Edit OwnThe right to make changes to documents which the user created themselves

Function Permissions

Function Permissions refer to a user's ability to perform actions within Supportable.

Assign point-person to self

Allows a user in this role to assign themselves to a referral in this service as a Point Person.
  • If this permission is active , the user will see their own name in the drop-down menu when selecting a Point Person for a referral in this service.
  • If this permission is inactive , their own name will not be included in the list of users.

Assign point-person to others

Allows a user in this role to assign other users to a referral in this service as a Point Person.
  • If this permission is active , the user will see other users in the drop-down menu when selecting a Point Person for a referral in this service.
  • If this permission is inactive , other users will not be included in the list of users.

Complete checklist items

Allows a user in this role to mark a Checklist item as Done or N/A on Checklists for referrals in this service.
  • If this permission is active , the Done and N/A radio selection options on Checklist items will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the options will be hidden from the user.

Advance through stages

Allows a user in this role to advance referrals for this service through their stages.
  • If this permission is active , the Next Stage button will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Put referrals process on pause (parking lot)

Allows a user in this role to put a referral for this service on pause.
  • If this permission is active , the Pause Referral button will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Undo checklist items

Allows a user in this role to restore completed Checklist items on referrals for this service.
  • If this permission is active , the Revert button on a completed Checklist item will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Approve referrals in queue

Allows a user in this role to approve referrals for this service when they are in the Queue stage.
  • If this permission is active , the Approval checkbox on Queue Progress items will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the checkbox will be visible but disabled for the user.

Create new referral application for person (copy from existing)

Allows a user in this role to create internal referrals to this service using another referral.
  • If this permission is active , this service will appear in the list of services the user can choose from when creating an internal referral.
  • If this permission is inactive , this service will not be included in the list of services.
  • If this permission is inactive for all services , the Create Another Referral for [Person] in the Referral History tab will be hidden from the user on all referrals.

Confirm admission

Allows a user in this role to give Queue Progress items an Admitted outcome on referrals for this service.
  • If this permission is active , the list of outcomes on a Queue Progress item will include the Admitted option .
  • If this permission is inactive , the Admitted option will not be included in the list of options.
Ensure that the user's View and Edit permissions for Event documents are set to the correct preferences so the user is able to view and edit previously scheduled Admission events as applicable.

Undo stage advancements (includes admission)

Allows a user in this role to revert a referral to its previous stage.
  • If this permission is active, the Revert to Previous Stage button will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Withdraw admitted referral

Allows a user in this role to withdraw an admitted referral for this service, reverting it back to its pre-admission stage.
  • If this permission is active , the Withdraw Admission button will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.
Allows a user in this role to unlink a referral for this service from one person and re-link it to another person.
  • If this permission is active the Unlink from [Person]'s File button will be visible and selectable to the user on a referral for this service in the Referral History tab, as long as the referral is In Progress .
  • If this permission is inactive , the button will be hidden from the user.
The View referrals in Referral History permission must be active for this permission to work.

Mark assessments as attended

Allows a user in this role to give Assessment Progress items the Attended outcome on referrals for this service.
  • If this permission is active , the list of outcomes on an Assessment Progress item will include the Attended option .
  • If this permission is inactive , the Attended option will not be included in the list of options.
Ensure that the user's View and Edit permissions for Event documents are set to the correct preferences so the user is able to view and edit previously scheduled Assessment events as applicable.

Mark tours as attended

Allows a user in this role to give Tour Progress items the Attended outcome on referrals for this service.
  • If this permission is active , the list of outcomes on an Tour Progress item will include the Attended option .
  • If this permission is inactive , the Attended option will not be included in the list of options.
Ensure that the user's View and Edit permissions for Event documents are set to the correct preferences so the user is able to view and edit previously scheduled Tour events as applicable.

Track authorizations

Allows a user to add and update Authorization Progress items on referrals for this service.
  • If this permission is active , the + Add button on Authorization Progress will be visible and selectable , and the input fields and Save button on Authorization Progress items will be enabled to the user on referrals for this service.
  • If this permission is inactive , the + Add button will be hidden , the input fields on Authorization Progress items will be disabled , and the Save button on Authorization Progress items will be hidden for the user.

Add contacts to a person's contact list

Allows a user in this role to add Contacts to a person's Contact list, if they have a referral for this service.
  • If this permission is active , the + Add a New Contact button on the Contacts tab and the + button on Contacts Found on Referral will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive the buttons will be hidden from the user.

Edit contacts on a person's contact list

Allows a user in this role to edit Contacts on a person's Contact list, if they have a referral for this service.
  • If this permission is active , the user's action drop-down on a Contact in a person's Contact list will include an option to View/Edit Contact Information on referrals for this service.
  • If this permission is inactive , an option will be included to simply View Contact Information .

Add payers to a person's payer list

Allows a user in this role to add Payers to a person's Payer list, if they have a referral for this service.
  • If this permission is active , the + Add a New Payer button on the Payers tab and the + button on Payers Found on Referral will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive the buttons will be hidden from the user.

Designate primary payers

Allows a user in this role to designate and dismiss Primary Payers on a person's Payer list, if they have a referral for this service.
  • If this permission is active , the user's action drop-down on a Payer in a person's Payer list will include an option to Designate or Dismiss as Primary Payer on referrals for this service.
  • If this permission is inactive , the option will not be included.

Remove/restore payers on a person's payer list

Allows a user in this role to remove Payers from a person's Payer list, if they have a referral for this service.
  • If this permission is active , the user's action dropdown on a Payer in a person's Payer list will include an option to Remove From [Person]'s Payers for active Payers, and include an option to Restore to [Person]'s Payers for inactive Payers, on referrals for this service.
  • If this permission is inactive , the options will not be inlcuded.

Add attachments to referrals

Allows a user in this role to add attachments to referrals in this service.
  • If this permission is active , the Drag files here or click here to upload files area will be visible and enabled to the user on referrals for this service.
  • If this permission is inactive , the area will be hidden from the user.

Edit and save details on a person's record

Allows a user in this role to edit a person's details, if they have a referral for this service.
  • If this permission is active , the input fields will be enabled and the Save button will be visible and selectable to the user in the Person tab on referrals for this service.
  • If this permission is inactive , the input fields will be visible but disabled , and the Save button will be hidden from the user.

Bypass stages in the intake process

Allows a user in this role to bypass any stage in the intake process on referrals for this service.
  • If this permission is active , the Bypass Stage button will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Restore rejected referral

Allows a user in this role to restore a rejected referral for this service, reverting it back to its pre-rejected state.
  • If this permission is active , the Withdraw Rejection button will be visible and selectable to the user on rejected referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Reject referrals

Allows a user in this role to reject referrals for this service.
  • If this permission is active , the Reject button will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Schedule assessments

Allows the user to create Assessment Progress items on referrals for this service.
  • If this permission is active , the + Add button on Assessment Progress will be visible and selectable to the user on referrals for this service. Additionally, the list of event types available when creating or editing an event will include the Assessment option.
  • If this permission is inactive , the button will be hidden from the user and the Assessment event type will not be available to the user when creating or editing an event.
The user must also be able to Create Event documents for this permission to work. Also ensure that the View and Edit permissions for Events are set to the correct preferences so the user is able to view and edit previously scheduled Assessment events as applicable.

Schedule tours

Allows the user to create Tour Progress items on referrals for this service.
  • If this permission is active , the + Add button on Tour Progress will be visible and selectable to the user on referrals for this service. Additionally, the list of event types available when creating or editing an event will include the Tour option.
  • If this permission is inactive , the button will be hidden from the user and the Tour event type will not be available to the user when creating or editing an event.
The user must also be able to Create Event documents for this permission to work. Also ensure that the View and Edit permissions for Events are set to the correct preferences so the user is able to view and edit previously scheduled Tour events as applicable.

Schedule admissions

Allows the user to create Queue Progress items on referrals for this service.
  • If this permission is active , the + Add button on Queue Progress will be visible and selectable to the user on referrals for this service. Additionally, the list of event types available when creating or editing an event will include the Admission option.
  • If this permission is inactive , the button will be hidden from the user and the Admission event type will not be available to the user when creating or editing an event.
The user must also be able to Create Event documents for this permission to work. Also ensure that the View and Edit permissions for Events are set to the correct preferences so the user is able to view and edit previously scheduled Admission events as applicable.

Designate emergency contacts

Allows a user in this role to designate and dismiss Emergency Contacts on a person's Contact list, if they have a referral for this service.
  • If this permission is active , the user's action drop-down on a Contact in a person's Contact list will include an option to Designate or Dismiss as Emergency Contact on referrals for this service.
  • If this permission is inactive , the option will not be included.

Remove/restore contacts on a person's contact list

Allows a user in this role to remove Contacts from a person's Contact list, if they have a referral for this service.
  • If this permission is active , the user's action dropdown on a Contact in a person's Contact list will include an option to Remove From [Person]'s Contacts for active Contacts, and include an option to Restore to [Person]'s Contacts for inactive Contacts, on referrals for this service.
  • If this permission is inactive , the options will not be inlcuded.

Edit payers on a person's payer list

Allows a user in this role to edit Payers on a person's Payer list, if they have a referral for this service.
  • If this permission is active , the user's action drop-down on a Payer in a person's Payer list will include an option to Edit Payer Information on referrals for this service.
  • If this permission is inactive , an option will be included to View Payer Information .

Download attachments from referrals

Allows a user in this role to download attachments from referrals for this service.
  • If this permission is active , the Download button on an attachment will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the attachment item will be visible , but the Download button will be hidden from the user.

Edit and save questionnaire items on referrals

Allows a user in this role to update and save items in the Questionnaire tab on referrals for this service.
  • If this permission is active , the input fields will be enabled and the Save button will be visible and selectable to the user in the Questionnaire tab on referrals for this service.
  • If this permission is inactive , the input fields will be visible but disabled , and the Save button will be hidden from the user.

Mark referrals as complete

Allows a user in this role to complete the intake process and put referrals for this service into a Resolved state.
  • If this permission is active , the Complete Intake Process button will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Edit completed checklist items

Allows a user in this role to edit completed Checklist items on referrals for this service.
  • If this permission is active , the Edit button on completed Checklist items will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Bypass the Screening Stage

Allows a user in this role to bypass the Screening stage of the intake process on referrals for this service.
  • If this permission is active , the Bypass Stage button will be visible and selectable to the user during the Screening stage on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Bypass the Assessment Stage

Allows a user in this role to bypass the Assessment stage of the intake process on referrals for this service.
  • If this permission is active , the Bypass Stage button will be visible and selectable to the user during the Assessment stage on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Bypass the Tour Stage

Allows a user in this role to bypass the Tour stage of the intake process on referrals for this service.
  • If this permission is active , the Bypass Stage button will be visible and selectable to the user during the Tour stage on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Bypass the Authorization Stage

Allows a user in this role to bypass the Authorization stage of the intake process on referrals for this service.
  • If this permission is active , the Bypass Stage button will be visible and selectable to the user during the Authorization stage on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

Mark/unmark authorizations as not needed

Allows a user in this role to indicate that an Authorization is not needed in the Authorization stage on referrals for this service.
  • If this permission is active , the Auth Not Needed checkbox in Authorization Progress will be visible and enabled to the user on referrals for this service.
  • If this permission is inactive , the checkbox will be visible but disabled for the user.

Create exports for Procentive Clients

Allows a user in this role to create Client export files for Procentive on referrals for this service.
  • If this permission is active , the Export person to Procentive button in the Person tab will be visible and selectable to the user on referrals for this service.
  • If this permission is inactive , the button will be hidden from the user.

View referrals in Referral History

Allows a user in this role to view referrals for this service in a person's Referral History.
  • If this permission is active , referrals for this service will appear on a person's Referral History .
  • If this permission is inactive , referrals for this service will be hidden from the user on a person's Referral History.

View referral details in Referral History

Allows a user in this role to view the latest progress details of referrals for this service on a person's Referral History.
  • If this permission is active , the user will be able to expand referrals for this service and view the latest progress details in a person's Referral History.
  • If this permission is inactive , the user will not be able to expand referrals for this service.
The View referrals in Referral History permission must be active for this permission to work.

View original document in Referral History

Allows a user in this role to view the Original Document of referrals for this service on a person's Referral History.
  • If this permission is active , the View Original Referral button will be visible and selectable to the user on a referral for this service in a person's Referral History.
  • If this permission is inactive , the button will be hidden from the user.
The View referrals in Referral History permission must be active for this permission to work.
